Freedom Software Solutions Private Limited ("Freedom Software Solutions", "we", "us", or "our") operates the avv.AI mobile application ("avv.AI" or the "App").
This Privacy Policy explains the types of information avv.AI may access or process, how that information is used, how it may be shared, how it is protected, and the choices available to users.
1. Information We Process
Account and Authentication Information
When you sign in to avv.AI, we may process information required to authenticate you and provide access to the services available to your account. This may include your name, username, email address, organization information, authentication tokens, session information, user roles, and access permissions.
Questions, Prompts and AI Conversations
When you interact with avv.AI, the App processes the questions, prompts, commands, or other information you submit. Depending on the features being used, this information may include data relating to your organization's ERP or other authorized business systems.
This information is processed to understand your request, retrieve information you are authorized to access, and provide appropriate responses through avv.AI.
Microphone and Speech Input
avv.AI may request access to your device's microphone when you choose to use voice input or speech-to-text functionality. Microphone access is used only when the voice-input feature is activated by the user and is not intended for continuous background recording.
Speech input may be converted into text so that avv.AI can process a spoken request in the same manner as a typed request. Users can deny or revoke microphone permission through their device settings.
Bluetooth
avv.AI may request Bluetooth permission where Bluetooth functionality is required to communicate with compatible devices or services used with the App. Bluetooth access is used only for functionality that requires such communication and is not intended for unrelated tracking or advertising.
Device, Technical and Diagnostic Information
We may process limited technical information necessary to operate, secure, troubleshoot, and maintain the reliability of avv.AI. This may include device type, operating system version, application version, network-related information, session identifiers, diagnostic information, and error or crash information.
2. Organizational and ERP Data
avv.AI is designed for business and enterprise use and may provide conversational access to information maintained in an organization's ERP or related business systems.
The information available to a user depends on the organization's configuration and the permissions associated with the user's account. avv.AI is not intended to provide access to organizational information for which the user has not been authorized.
3. How We Use Information
We may use information processed through avv.AI to:
- Provide and operate avv.AI.
- Authenticate users and maintain secure sessions.
- Understand questions, prompts, and commands submitted by users.
- Retrieve ERP or business information the user is authorized to access.
- Generate and display responses to user requests.
- Maintain the security and integrity of the App.
- Detect and prevent unauthorized use or security incidents.
- Diagnose technical problems and improve service reliability.
- Comply with applicable legal and regulatory requirements.
4. Sharing of Information
Freedom Software Solutions does not sell users' personal information.
Information may be shared with service providers where such processing is necessary to operate avv.AI. These providers may include cloud infrastructure, artificial intelligence processing, speech recognition, authentication, application monitoring, diagnostics, security, and other technical service providers.
We may also disclose information where required by applicable law, legal process, court order, regulatory obligation, or a valid request from an authorized government authority.
5. Data Retention
We retain information only for as long as reasonably necessary to provide avv.AI, maintain security, resolve technical issues, meet contractual obligations, and comply with applicable legal or regulatory requirements.
When information is no longer required for the purpose for which it was processed, it may be deleted, anonymized, or otherwise handled in accordance with applicable retention procedures and legal requirements.
6. Account and Data Deletion
Users may request deletion of personal information associated with avv.AI by contacting Freedom Software Solutions at support@freedomsoft.co.in.
Where an avv.AI account is created or administered by the user's employer or another organization, certain account-related requests may need to be handled in coordination with that organization or its administrator.
Certain information may be retained where necessary to meet legal, regulatory, contractual, security, fraud-prevention, audit, or dispute-resolution requirements.
7. User Choices and Privacy Rights
Depending on applicable law and the nature of the user's account, users may have rights relating to their personal information, including the right to request access, correction, deletion, or information about how their personal information is processed.
Device-level permissions such as microphone and Bluetooth permissions can be managed through the device settings.
8. Security
Freedom Software Solutions uses reasonable technical and organizational safeguards designed to protect information processed through avv.AI against unauthorized access, disclosure, alteration, misuse, destruction, or loss.
These safeguards may include encrypted network communications, authentication controls, access restrictions, role-based permissions, and other security measures appropriate to the nature of the information being processed.
However, no method of electronic transmission or storage can be guaranteed to be completely secure.
9. Children's Privacy
avv.AI is intended for business and professional use and is not directed at individuals under 18 years of age. We do not knowingly collect personal information from children through the App.
If we become aware that personal information relating to a child has been collected contrary to applicable requirements, we will take appropriate steps to delete or otherwise address that information.
10. Third-Party Services
avv.AI may rely on third-party technologies or service providers to provide specific application functionality. Where third-party services process information on our behalf, their processing may also be subject to their applicable privacy and data-protection terms.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to avv.AI, our information-handling practices, applicable laws, or regulatory requirements.
When this Privacy Policy is updated, the revised version will be published on this page and the effective date shown at the top will be updated.
